Notifications can be customized by eligible users, and certain notifications require client or staff assignments for them to be triggered. This article outlines the rules governing notifications, how they can be controlled, and the types of notifications that require specific assignments. ### **Who Controls Notifications?** #### **Workspace Owner Control** The **Workspace Owner (Primary Admin)**  has the ability to determine which users (Workspace Owner, Additional Admins, Managers, and Staff) receive notifications based on their roles. This means the Workspace Owner can configure notification settings for different user types in the system. The customization allows users to choose how they wish to receive notifications, whether by: ![](https://help.countingworkspro.com/hs-fs/hubfs/image-png-Mar-06-2025-12-19-12-6289-AM.png?width=191&height=55&name=image-png-Mar-06-2025-12-19-12-6289-AM.png) - **Email** - **Bell (in-app notifications)** - **SMS** #### **How to Customize Notifications:** To customize notification settings, users should navigate to the following location: **Profile \> Notification Settings** **![](https://help.countingworkspro.com/hs-fs/hubfs/image-png-Mar-06-2025-12-19-53-5933-AM.png?width=688&height=391&name=image-png-Mar-06-2025-12-19-53-5933-AM.png)** From here, users can select their preferred notification method(s) for the various types of alerts they want to receive. --- #### **Notifications Requiring Client/Staff Assignment** While some notifications are sent automatically to users based on system activity, certain notifications are triggered only when a user is assigned to a **client**. These notifications are tied to specific client actions and will not be sent unless the user has been assigned to the client. ### **List of Notifications Requiring Client Assignment:** | **Notification Type** | **Description** | | --- | --- | | **Payment Received** | The client has completed the proposal checkout. | | **Accept Proposal** | The client has accepted the proposal. | | **Refuse Proposal** | The client has refused the proposal. | | **Document Signed** | The client has signed the document. | | **Document Fully Signed** | All parties have signed the document. | These notifications will only be triggered when a user is assigned to a client associated with one of these actions. --- #### **File Upload and New Client Message Notifications:** Users can receive notifications whenever a client uploads a document or sends a message. If a client does not have any staff member assigned, the system will automatically notify the admin whenever there is a new upload or message. However, if staff members are assigned to a client, notifications will only be sent to the assigned staff and any managers or admins assigned to that client.\*Admins who are not assigned to the client will no longer receive these notifications, ensuring that alerts are only sent to the relevant team members. --- #### **Summary** - The **Workspace Owner** controls which roles receive notifications based on their responsibilities. - **All eligible users** can personalize their notification preferences by selecting how they wish to receive them: Email, Bell, or SMS. - Certain notifications, such as those related to **client proposals** and **documents**, require the user to be assigned to a client to receive them. By using these settings, you can ensure that everyone gets the notifications they need, in the manner that suits them best, and that notifications related to client-specific activities are sent to the appropriate users. -
