How to Set Up and Activate ROI Playbooks
ROI Playbooks are powerful automation tools designed to strengthen client relationships while driving measurable business outcomes. By setting them up correctly, you can put your relationship-building strategy on autopilot and ensure clients receive the right message at the right time.
What is an ROI Playbook?
An ROI Playbook is a prebuilt, automated sequence of valuable content. Once activated, it systematically nurtures client relationships and helps you move them toward specific goals—such as upgrading from tax prep to tax advisory or from bookkeeping to Virtual CFO services.
Step 1: Access Your Playbooks
- Go to the Playbook section in your admin dashboard.
- You’ll see preloaded ROI Playbooks available to activate.
- Example: Upgrade to Tax Advisory Playbook
- Example: Bookkeeping to Virtual CFO Playbook
- Select the playbook you’d like to set up.
Step 2: Review and Adjust the Sequence
Each playbook comes with a pre-created sequence of steps required for success.
- You can review the sequence as-is.
- If needed, you can edit steps by clicking the edit icon.
- Use the Max AI Content Assistant for quick edits or to generate new SEO-optimized content.
👉 Example: The playbook includes a Create a Blog Post step that automatically generates a tailored, optimized blog article for your firm’s website.
Step 3: Configure Settings
- Click on Settings within your chosen playbook.
- Ensure the following:
- A default assignee is set.
- The correct tags are active. Tags trigger the playbook for specific clients.
- To use recommended tags:
- Find them under the Recommended Tag section.
- Click Add to Workspace to apply them to your account.
Step 4: Verify Sequence Settings
- Review sequence settings to confirm they align with your business needs.
- Once everything looks good, click Save.
Step 5: Check Website Publishing Settings
- In the Create Blog Post step, make sure your website is selected for publishing.
- If the site is missing:
- Add it via the dropdown.

- A red triangle will appear if the setting is incomplete.
Step 6: Activate the Playbook
Once the sequence and settings are ready:
- Toggle the playbook to Active.
- Go to your Client Hub.
- Select a client and apply the relevant tag.
- This will automatically enroll them in the playbook sequence.
Step 7: Monitor Progress in Analytics
- Open the playbook’s Analytics tab for a complete overview:
- See which clients are in the sequence.
