Website Migration and Deactivation Process

This article outlines the steps for migrating a website from 2.0 to 3.0, deactivating associated services, and completing necessary configurations during the migration process.

1. Publish the Website on the Domain

  • Step 1: Ensure the website is ready to go live on the new domain.

  • Step 2: Add all necessary DNS resource records to the domain's DNS settings.

    • Note: If the domain is registered with Enom:
      • Action: Add the domain to CloudFlare and send Wendy the assigned CloudFlare Nameservers with a request to transfer the domain to CloudFlare.
  • Step 3: Publish the new Website

2. Deactivate Social Media Posts

  • Action: Log into the 2.0 platform.
  • Step 1: Go to the Social Media settings.
  • Step 2: Deactivate any scheduled or automatic posts.

3. Deactivate the Monthly Newsletter

  • Step 1: Navigate to the newsletter settings in 2.0.
  • Action:
    • Uncheck the box to send the monthly newsletter.
    • Check the box to pause all outgoing communications.

4. Turn Off All Services

  • Action: Deactivate all services associated with the 2.0 website platform.

5. Deactivate the Domain

  • Step 1: In the domain settings, change the "Domain Active" and "SSL" buttons to "No."

6. Obtain Domain ID for Migration

  • Action: Retrieve the Domain ID to be used for data migration to 3.0.

7. Locate Account in 3.0 to Start Migration

  • Step 1: Log into the 3.0 platform.
  • Step 2: Locate the corresponding account for migration.

8. Begin Migration

  • Action:
    • Click on the “Change” button.
    • Enter the Domain ID.
    • Uncheck the “Sync Leads” box to avoid syncing leads during migration.

9. Setup 3.0 Monthly Newsletter

  • Step 1: Navigate to the Newsletter settings in 3.0.
  • Step 2: Set up and configure the monthly newsletter for the 3.0 platform.

10. Integrate TaxBuzz and CountingWorks Profiles to 3.0

  • Step 1: Navigate to Integrations > New Integration.
  • Step 2: Search for TaxBuzz and CountingWorks accounts to integrate with the 3.0 platform.


10a. Activate Ai SmartBot

  • Step 1: Click on Create
  • Step 2: Give Bot a Name: ex. Website SmartBot
  • Step 3: Enter a Phone number > Select a Website > Toggle Ai Ask Me Button to On
  • Step 4: Header Title: FAQs > Header Description: Frequently Asked Questions > Message: Type your questions here.
  • Step 5: Save

11. Update the Migration Spreadsheet

  • Action: Open the 2 to 3 migration spreadsheet.
    • Link: Migration Spreadsheet
    • Step 1: Check off the completed steps as you move through the migration process.

12. Send the Customer the "Next Steps" Email

  • Action: Once all steps are completed, send the customer the appropriate "Next Steps/Congratulations" email outlining what to expect next in the process.

13. Update the Ticket Status in HubSpot

  • Action: After the migration is complete and confirmed, update the ticket status in HubSpot to “Launch Complete.”
