Why We're Retiring the Old Platform, What It Means for Your Firm, and How to Make a Seamless Transition Before December 31, 2025

We know it’s hard to understand why we’re getting rid of a system you’ve come to know inside and out, and we haven’t taken this decision lightly. Here, we explain why we’re sunsetting the old system, outlines key dates, and show you how to transition seamlessly to our exciting, new CountingWorks PRO 3.0 platform.


1. Why We’re Moving On

Over the past several years, the demands placed on tax and accounting professionals have become more complex. To serve you better, our focus has shifted toward:

  • IRS Compliance: The IRS now enforces more rigorous security controls and reporting standards. Our new platform is fully aligned with the latest IRS requirements for data storage, encrypted communications, and audit trails, ensuring your practice stays compliant without manual workarounds.

  • AI-Powered Search & Website Standards: Cookie-cutter websites don’t perform in today’s AI-driven search environment. CountingWorks PRO’s next-generation website builder and integrated AI search ensure that your firm will rank higher in modern search engines and offer prospective clients a more intuitive, relevant experience.

  • AI & Presentation Automation: Manual report generation, proposal creation, and client presentations are time-consuming. Our new system uses AI to auto-generate engagement letters, visual tax summaries, and voice-over overviews of returns—so you can focus on advising clients instead of wrestling with repetitive tasks.

  • Custom Narratives: Differentiation starts with storytelling. The legacy platform never had the horsepower to tailor custom narratives for each firm or client segment. CountingWorks PRO’s AI-driven narrative engine delivers personalized marketing copy, blog content, and client communications that reflect your firm’s unique voice and value proposition. In short, we’re here to tell your story, and yours alone.

The world has changed: most of the developers who built and maintained our legacy platform have since retired, and keeping that code secure, compliant, and up to date is no longer sustainable. To support the high standards your clients expect—and to give you the tools to compete in an AI-centric marketplace—you must migrate to CountingWorks PRO.


2. End-of-Life Timeline

  • Deprecation Date: December 31, 2025
    As of this date, the legacy platform will be officially deprecated. We will no longer release security patches, feature updates, or performance enhancements for the old system.

  • Extended Access Through Tax Season 2026:
    Understanding that most firms operate on a January–April cycle, we will keep the legacy platform live (read-only for critical filings and data retrieval) through April 30, 2026. However, you will be using it entirely at your own risk, as no further support or maintenance will be provided.

Important: After December 31, 2025, the legacy system may experience unexpected downtimes, performance degradation, or even security vulnerabilities (e.g., increased risk of DDoS and other attacks).


3. What This Means for You

  1. No More New Features or Fixes:
    After the deprecation date, we’ll shift all resources to CountingWorks PRO. You should not expect any enhancements—even critical bug fixes—to the legacy platform.
  2. Security & Compliance Risks:
    • Data Breach Vulnerability: Without ongoing security patches, the platform becomes increasingly susceptible to cyberattacks or malware.
    • IRS Non-Compliance Risk: As IRS rules evolve, legacy workflows may fall out of alignment, leaving you exposed during an audit.
  1. Potential Performance Issues:
    • Servers running the old code may slow down or go offline unexpectedly.
    • Third-party integrations (e.g., payment gateways, tax-form providers) may deprecate their own APIs for older platforms, causing disruptions.
  1. Future Data Access:
    • You will retain read-only access to retrieve client records and archived files through April 30, 2026, but new data will not synchronize.
    • After April 30, 2026, we’ll provide an exported archive of your data, but you will no longer be able to log into the old system.

Migrating to CountingWorks PRO is straightforward, and our dedicated migration team will guide you through every step:

  • Q: If I don’t migrate by December 31, 2025, can I still file critical extensions or retrieve data?
    A: Yes—but only in read-only mode and entirely at your own risk. We strongly recommend that all firms complete migration by December 31, 2025, to avoid any service disruptions.

  • Q: Will my pricing change when I move to the new platform?
    A: For current legacy customers, we are offering discounted pricing through April 30, 2026. Beyond that, standard CountingWorks PRO rates will apply. Detailed pricing will be reviewed during your migration call.

  • Q: Can I run the legacy platform in parallel with the new one for a short time?
    A: Yes. We encourage you to test both systems side by side. Our goal is to ensure you feel comfortable before fully committing to the new environment.

  • Q: What if I have custom reports or integrations built in the legacy platform?
