Product Update - March 2025

In this article, you’ll find a brief video walkthrough highlighting some of the key changes and improvements we've made. For a deeper dive into everything that’s new, check out the detailed written explanations below the video. Whether you prefer to watch or read, we’ve got you covered!

1. Who Controls Notifications


The Primary Admin has the ability to select which users (Primary Admin, Additional Admins, Managers, and Staff) receive notifications based on their role.

All Eligible Users (Primary Admin, Additional Admins, Managers, and Staff) Can Customize Their Notifications

  • All eligible users can customize their notification preferences.
  • Navigate to: 3.0 Settings > Profile > Notification Settings
  • Users can choose how they receive notifications: Email, Bell, or SMS.

Notifications Requiring Client/Staff Assignment

While some notifications are sent by default, users must be assigned to a client to receive certain notifications. Below is a list of notifications that require client assignment:

  • Payment Received – The client completed the proposal checkout.
  • Accept Proposal – The client has accepted the proposal.
  • Refuse Proposal – The client has refused the proposal.
  • Document Signed – The client has signed the document.
  • Document Fully Signed – All parties have signed the document.

Next Steps & Feature Requests

Additionally, two feature requests are in progress to streamline staff assignments per client:

  • Bulk Assign Users – The ability to bulk assign Additional Admins, Managers, and Staff to clients via Client Hub.
  • User Assignment During Import – The ability to assign users to clients during the import process.

2. Bulk Time Zone Updates for Clients


You can now update time zones for multiple clients at once.

Here’s how:

  • Go to ClientHub and select a client—this will display the Update Time Zone button.
  • Flag multiple clients.
  • Select their time zone and click Save—it’s that easy!

3. Bulk Tagging Made Simple


You can now add tags to multiple clients at once!

Here’s how:

  • Go to ClientHub and select a client—this will display the Assign Tags button.
  • Flag multiple clients.
  • Select the applicable tags and click Save.

We’re expanding bulk tagging capabilities to make organizing clients even easier. Soon, you’ll be able to:

  • Bulk tag clients in imported lists
  • Bulk tag clients in subscriber lists

4. Update: Easier Access to User Assignment


In Settings > ClientHub Settings, you’ll now find the User Assignment section at the top of the list—making it easier to locate and manage.

5. New Feature: Personalized Global Auto-Responses


Set up an Auto-Response message for incoming ClientHub inquiries—perfect for out-of-office notices, office closures, or response policy updates,

How to Set Up a Global Auto-Response:

  • Go to Settings > ClientHub Settings
  • Scroll to Auto Response and click Enable
  • Select a Date Range or Days
  • Enter your Message
  • Click Save
  • The auto-response will appear in the client’s ClientHub inbox
  • A reminder notice will also display on the Pro’s desktop view

  • Set auto-responses by specific hours
  • Auto-responses for additional admins, managers, and staff

6. Enhancement: Increased Character Limit for Notes in ClientHub


In ClientHub > Client > Details > Notes, we’ve expanded the character limit from 300 to unlimited—giving you more space for important details!

7. Enhancement: Improved Read Status & Added Activity Log for Documents


Global Read Status:

  • When any admin (PRO/Staff Member) downloads or marks a document as "read," the red indicator light turns off for all admins.
  • Real-time updates ensure all admins see the correct read status.

Audit Trail (Activity Log):

    A new "Activity Log" option has been added to the document’s three-dot menu.

    Clicking "Activity Log" opens a modal displaying:

  •   Admin Name
  •   Action Taken (Viewed / Downloaded)
  •   Timestamp

Individual Access Tracking:

  •  Each admin's interaction with a document is logged.
  •  Viewing or downloading counts as an individual action and contributes to the global read status update.

8. New Features in ClientHub > The Documents tab
The Document List: Displays all documents sent by the admin.

  • Document Name
  • Date Sent
  • Recipients (List of users who received the document)
  • Status (Unread, Read, Downloaded)

9. New Tracking for Deleted Documents


   Activity Feed:

    Deleted documents are now tracked in the ClientHub > Clients > Details > Activity Feed.

    The activity log includes:

  • Admin Name
  • File Name
  • Action Taken
  • Timestamp

This provides better tracking and transparency when documents are deleted.

10. Workspace Owners Contact Phone Numbers and Mobile Numbers

Phone Number in Account Settings (Primary Workspace Owner)

Navigate to the top right icon > Go to Settings > Enter a Phone Number.

This phone number will appear in email notifications sent to clients in the following cases:

  • When the user sends a client a chat message.
  • When a document is uploaded in chat, and the client receives a new message notification.
  • When a document is uploaded on the Documents page and and the client receives a "file uploaded" notification.

 Mobile Number in Profile Settings

  • Navigate to the top right icon > Go to Profile > Enter a Phone Number.
  • If a mobile number is entered here, and the pro opts for SMS notifications, they will receive SMS alerts at this number.

         Caution: if this is a regular phone number (not mobile), SMS messages will fail.  It is recommended they do not choose SMS messages in their preferences.

11. New Feature: Bulk Document Sending & Messaging

Why our pros will love this: Easily share important documents and messages with targeted client groups. Whether you’re sending tax questionnaires, white papers, or other essential materials, this new feature streamlines communication and document sharing.

How It Works

From ClientHub > Message Clients, you can now send messages and documents in bulk to a targeted group of clients.

You can select:

  • All clients
  • Specific clients
  • Clients by a specific tag

Two Sending Options:

  • Send a Secure Message – Allows you to send messages and upload documents securely to a group of clients. Clients will receive a notification that a message or document is available in their account.
  • Send an Unsecured Message – Works like a general email feature, allowing you to send non-secure messages to a group of clients.  Caution: Any messages or attached documents sent this way are NOT SECURE.

Bulk Files Sending View

When selecting Documents, a toggle on the right allows you to switch between:

  • Individual Files View – See a list of files as usual.
  • Bulk Files Sending View – View all clients who received bulk-sent files and the documents included. You also have the ability to remove a document in bulk from all recipients or remove a document for a specific client if needed.

Enhancements to improve bulk sending, including:

  • Text Editor for enhanced message formatting.
  • Scroll loading for easier client selection.
  • Full visibility of selected clients from lists or tags.
  • Clear/reset list option to correct client selection mistakes.
  • The ability to deselect clients from the list.
  • A way to cancel a send before it is finalized.  
  • A message recall option after sending.
  • Improved disclaimers for unsecured messages.

12. Feature Enhancement: Streamlined eSign Document Signing Flow in ClientHub

Now our pros can enjoy a clearer, more intuitive process for signing documents—making document signing smoother and more efficient.

Enhancements:

  • When a Pro clicks on the "Your signature is required" email notification, they will be taken directly to ClientHub > Forms > Overview, where the eSign document requiring their signature will automatically open.
  • A clear indicator will highlight any documents that still require the Pro’s signature.

This update ensures a seamless experience, saving time and reducing friction in the signing process.
